How to Request a Quote

1. Call (904) 510-9737 for immediate assistance and preliminary availability.
2. Request a Quote online (via our booking portal on the website) — provide event date, location, guest count, and desired service model (open bar).
3. We will follow up within a few hours with a detailed proposal including staffing, equipment, and beverage options.
   

What We Need to Provide an Accurate Quote

• Event date and times (start time, approximate bar open time, and end time)
• Venue name and full address
• Estimated guest count and guest profile (e.g., cocktail party, seated dinner, festival)
• Preferred service model (open bar)
• Any special requests (signature cocktails, branded bars, VIP service)
  

Booking Process & Timeline

1. Inquiry and Consultation: Discuss requirements and receive preliminary recommendations.
2. Proposal & Quote: Receive itemized quote and sample menus.
3. Contract & Deposit: Sign the service agreement and place the deposit to secure your date.
4. Final Details: Confirm final guest count, menu selections, and timeline typically 30 days before the event.
5. Final Payment & Reconciliation: Remaining balance is due per contract terms, and we provide a summary of services.
6. Event Execution: Our team arrives per agreed schedule for setup, service, and breakdown.

Payment & Billing

• Corporate invoicing for qualifying accounts

Payment terms and deposit requirements will be outlined in your contract. We can accommodate split payments for larger events upon arrangement.

Insurance Documentation

If your venue requires certificates of insurance or proof of licensing, request these documents as soon as you confirm our services. Event-Tenders provides proof of general liability insurance and can be listed as additional insured when required by the venue (subject to contractual terms).

On-Site Coordination

• Load-In: We coordinate load-in windows with venues to ensure efficient setup.
• Staff Briefing: Bartenders receive a pre-service briefing on menu, event layout, timing, and safety protocols.
• Venue Liaison: We designate a point-of-contact to communicate with venue staff for any real-time needs.
  

Cancellation & Change Policy

Cancellations and changes are governed by the service agreement. Changes to guest counts or event timing should be communicated as early as possible to allow for staffing adjustments and accurate beverage provisioning. Cancellation terms vary by the proximity of cancellation to the event date.

Service Area & Travel Considerations

Primary service areas include Jacksonville, St Augustine, Ponte Vedra, Orange Park, Fernandina Beach, Northeast Florida and Southeast Georgia. Travel fees may apply for events located outside our primary service radius. For remote or destination events, we will include travel, lodging (if necessary), and logistic costs in the quote.
